Assistant Director of Facilities

Department: Buildings and Grounds
Location: Chestertown, MD

Washington College is seeking qualified applicants for the Assistant Director of Facilities position. The principal function of the Assistant Director of Facilities is to provide operational, financial and personnel support relative to the maintenance, repair, housekeeping, construction, alteration and operation of the grounds, buildings and other physical facilities of the College.†This position provides as-directed support to the Assistant Vice President†for Facilities, acting as a second-in-charge for the Buildings and Grounds team.

Essential Functions:

  1. Assist Assistant Vice President for Facilities in preparing and monitoring operational and project budgets for maintenance and project work.
    1. Assist in the development and implementation of Capital and Deferred Maintenance programs.
  2. Develops and delivers on cost effective and time efficient solutions for maintenance and operational efforts.
    1. Develops, plans, scope, estimates, negotiates, executes and manages various projects through outside contractors, as well as staff personnel.
    2. Conducts periodic, preventative maintenance/special inspections to determine the need for work to be done on the physical facilities of the College in order to maintain and extend their useful life.†
    3. Manage the operation of the computerized maintenance system, a sophisticated work order control, inventory and information system.†
    4. Coordinates requests from faculty, staff, students, and from departments and offices regarding repairs, alterations, installations, furniture moving, materials, etc.†
    5. Conducts daily inspections of work orders/project in process to ensure timely and effective performance†and use of resources.
    6. Reports on department activities, including information such as work accomplished and planned, man-hours and material expenditures.
  3. Supports departmental personnel management.
    1. Evaluates manpower needs and capabilities, recommending and implementing changes in consultation with Assistant Vice President†for Facilities.
    2. Monitors quality/quantity of work by in-house personnel.†
    3. Develops reports on personnel transactions, e.g., sick leave, vacations and personal leave.†
    4. Writes/reviews job descriptions and duty statements; screens and interviews job applicants and assists in the selection of new employees.†
    5. Develops training opportunities for employees.† †
    6. Explains and enforces College policies, safety rules and regulations.
  4. Manages contracts.
    1. Engages contractors for preventive and corrective maintenance per the terms of the relevant contracts
    2. Acts as the project manager of work by contract personnel.†
    3. Manages up-to-date list of contracts, rates, contact points, renewal dates & terms, etc. to facilitate contract administration.
    4. Partners with the Assistant Vice President to develop RFPs and evaluate responses
  5. Performs other duties of similar nature as assigned.

Education:

A bachelorís degree or the equivalent comparable combination of education and experience.

Experience and Background:

  1. Minimum of five years supervisory experience in facilities, with a preference for experience in an educational setting.
  2. Incumbent must have:
    1. proven leadership ability and demonstrates integrity and dependability
    2. strong human relations abilities
    3. excellent oral and written communication skills
    4. a demonstrated strength in budget management
  3. Requires a working knowledge of computerized maintenance management system and functional knowledge of Excel, MSWord, MSProject email, etc.
  4. Must be willing and able to work longer hours when emergencies arise and deadlines must be met.
  5. Willing to provide pleasant, efficient service to the College community.
  6. Must be able to handle stressful situations and demonstrate flexibility at all times.
  7. Must maintain a valid driverís license.
